Design Tasmania is a leading not for profit organization that promotes and engages contemporary Tasmanian design at a national and international level.

We are looking for a Program Coordinator to join our small skilled team. This is a dynamic position requiring you to be organised and adept at detail across the implementation of our artistic program.

You’ll fit into the wider community of Design Tasmania including makers and stakeholders from various backgrounds. You’re a ‘peo-ple person’ with good communication skills and knowledge of contemporary design at a local and national level.

You’ll be responsible for the presentation and general housekeeping of the galleries including managing exhibition bump-ins and other event bookings. You will need to liaise with other organisations and stakeholders in the implementation and co-ordination of exhibition installs. (Some elements of this job require a reasonable level of fitness and agility as you will have times up a ladder or carrying things).

Work Level Description

To assist the CEO to deliver the artistic programs of Design Tasmania and the Wood Design Collection and maintain a functioning exhibition and event space, within the context of a not-for-profit organisation.

To implement agreed strategies and projects with a high degree of autonomy, and show initiative and commitment to achieve the desired objectives.

Duties of Position

Working under the direction of the CEO the duties of the position include:

Deliver, under guidance and in collaboration with the CEO, the artistic program, in line with approved budgets, including gallery exhibitions and educational activities.

Work with the CEO to maintain and care for the Design Tasmania Wood Collection, its display, promotion and facilitation of commercial opportunities through Design Tasmania.

Assist in the implementation of strategies and tasks to increase the level of grants and private sector income, including gifting and sponsorship and sponsor relationships, as well as assisting in grant applications and reporting processes.

Support and provide information to the CEO, Board of Design Tasmania and its Ad-visory Committees on visitation statistics

Assist in promoting the activities of Design Tasmania on all public platforms, and maintain positive public, community and media relations.

Maintain effective communications with stakeholders, staff and the Board through  daily office administrative tasks; including undertaking timely correspondence; briefing notes for exhibitions, review and maintain databases, work with the Operations Su-pervisor on information for volunteers, volunteer rosters and gallery visitor statistics and other records and filing.

Work with the CEO and the Operations Supervisor to link the artistic programs with the retail operations. i.e quarterly meet the maker events

Monitor budget expenditure on exhibition programs and gallery events in line with budget objectives

You will be required to attend events and participate in front of house activities as well as post event pack downs. NOTE some of these activities are after hours or weekend initia-tives.

Skills and knowledge

The Program Coordinator is expected to demonstrate:

Knowledge of contemporary design industry.

Some knowledge of the not-for-profit sector and relevant funding streams, both pub-lic and private.

Planning and project management skills and ability to implement the strategies and programs of Design Tasmania.

Ability to research, analyse, document and develop presentations, reports and other communications in collaboration with the CEO.

Skills in general administration and technical proficiency in a wide range of software applications and electronic communication mediums. Some graphic design knowledge is beneficial

Good interpersonal skills with proven strengths in written, oral and communication, negotiation and presentation skills and proven ability to manage effective relation-ships.

Proven ability to prioritise a high workload and juggle competing demands.

Ability to work semi-autonomously as part of a small team.

Terms of Offer

The position is subject to a contract of employment that will cover:

Commencement date, duties, hours of employment, time in lieu arrangements, remu-neration, superannuation, out-of-pocket expenses, annual leave, sick leave and other entitlements, confidentiality, termination, reporting lines, performance review and in-tention to renew.

We are looking for an Operations Supervisor to join our small skilled team. This is a dynamic position requiring you to be a great communicator and adept at detail across retail operations and the functions of Design Tasmania.

You’ll fit into the wider community of Design Tasmania including makers and stakeholders from various backgrounds. You’re a ‘people person’ with good commercial and business acumen and experience in retail management, human resource management, book keeping & financial reporting as well as general administrative skills. You’ll keep a keen eye on the building and property, liaise with volunteers and be always looking for ways, with the CEO and staff, to further the mission and commercial activities of Design Tasmania, especially within the retail environment.

Position title: OPERATIONS SUPERVISOR

You will be a critical member of the Design Tasmania team, reporting to the CEO, whilst working closely with the Retail Committee, Board and CEO.

Duties include:

Retail Oversight & Development

Responsibility for recruiting, training and rostering of retail staff across a seven-day operation.

Develop retail sales targets and measure progress.

Work with the CEO on the selection and presentation of design objects with the retail environment and align, where possible, to the overall objectives of the Design Tasmania curatorial and public program.

Assist and work as a part of the team with the integration of a revised online strategy and establish a strong online retail store and other digital retail promotions.

Human Resource Management

Responsibility for staff and volunteer rosters, timesheets and inductions. Ensuring that the Centre runs smoothly and operates in an expert, professional and friendly way internally and to the external community of stakeholders, including designers and customers.

Financial Management

Responsibility for reconciling accounts, salaries, invoicing, BAS and superannuation aligned with set budgets. Budget development and management in collaboration with the CEO.

Day-to-day administrative tasks include cash handling, banking and financial reporting. Compiling information and assisting external auditors. Management of accounting systems and processing payroll, tracking and accounting for deposits and consignment stock.  Maintenance & effective use of IT systems.

Implement and report against KPIs for retail operational performance. Understanding of pricing strategies and margins, responsibility for sales targets. Implement and report against KPIs for retail operational performance.

Administration 

Undertake daily administrative duties within the retail environment as well as the Centre such visitor statistics.

Review and develop operational systems for the management of the Design Tasmania database and MATES program.

Develop and implement a business strategy to link Programs with the retail environment. Work with the CEO on a volunteer strategy and provide volunteers with information regarding the retail operations, the exhibitions and general updates on Design Tasmania events and activities.

Working with the CEO and the graphic team responsible for communicating Design Tasmania as a unified Brand across all social media platforms.

Assist the CEO with grant application & reporting for acquittal and other reporting and operational reports for the CEO and Board.

You will be required to attend events and participate in front of house activities and have a role in organising/delivering catered internal and external events. NOTE some of these activities are after hours or weekend initiatives.

Skills and knowledge 

The Operations Supervisor is expected to demonstrate:

• Excellent retail operations knowledge and experience

• People management and human resource capacity

• Team leadership and high level verbal and written communications skills in a range of settings

• Engagement/knowledge in the contemporary Tasmanian design industry and its designer makers

• Ability to research, analyse, document and develop presentations, reports and other communications for the CEO, Committee and Board

• Skills in general administration and technical proficiency in a wide range of software applications and electronic communication mediums

• Good financial literacy, financial reporting capabilities and competency in financial software packages

• Ability to manage effective relationships with the shop and gallery visitors, staff, volunteers, Board, Trustees, sponsors and other stakeholders

• An ability to prioritise work and competing demands

• Excellent project management, time management and financial skills

• An ability to work semi-autonomously with integrity as part of a small team.
